Job Description

Job Summary: Responsible for Time & Attendance, Payroll process including compensation &
benefits, Ensuring all compliances as per labour laws. Take initiative for learning & development
activities and take a lead role for employee engagement activities. To develop and improve the
worker’s administration at workplace. Maintain and look after work place, proper hygiene and all
kinds of general administration activities.

Your primary contribution will be:

1. Presentation:

  • Co-ordination: Executive assistance in organizing, scheduling appointments, travel,
    and other arrangements, shadowing meetings and following up after meetings.
  • Information presentation: Preparing executive reports, regularly scheduled
    administrative reports, ensuring smooth flow of information within the company to
    facilitate other business operations.
  • Communication: Receiving phone calls, providing requested information via email,
    handling incoming correspondence, drafting Email response content, etc.

2. Internal Processes: Office Administration and other operations

  • Access and Attendance Tracking: Track leave announcements and follow up on
    necessary approvals.
  • Payroll Execution: Reviewing timesheets and reimbursement claims, tax declarations
    & proofs, maintaining up-to-date employee information, adding new hires/deleting
    exited employees from payroll.
  • Employee Onboarding: Arrange office and leadership visits, events, etc; information
    gathering for drafting employee contracts, preparing onboarding documents,
    introducing new employees to company processes and company facility.

3. Internal Compliance Activities: Policies, Documentations, Supervision and Co-ordination.

  • Office Policies Enforcement: Devise effective actions to ensure everyone adheres to
    company policies and regulations; find ways to streamline such office activities, send
    out companywide announcements, notices, etc.
  • Documentation: Develop and maintain a filing system (electronic and hard copy
    filing systems) for documentation related to office policies and that are related to
    the company’s administrative activities.
  • Facilitating Fidelestech Internal use of Infrastructure and Resources, Overseeing the
    maintenance and serviceability of office equipment; ordering office supplies to
    restock when necessary.
  • Coordinating meeting rooms and other facilities for use and setting up any
    equipment/supplies that will be used.
  • Supervising maintenance staff on cleanliness, security, refreshments, electrical
    appliances, etc.; oversee services and maintenance activities to ensure office facilities
    are always organized and fully functional.

4. External Compliance Activities: Auditing, Documentation & Other Office Assistance

  • Tax related Compliance: Assisting Accounts thoroughly with all expenses and
    support with annual income tax and ROC filings. Co-ordinating for charging,
    contribution/paying and periodical filings of TDS from services and salaries,
    professional tax, and GST.
  • Statutory Audit Compliance: Sending notices, gathering attendances, documenting
    board resolutions for board meetings; following-up and co-ordinating with the
    company secretary.
  • Labour Laws Compliance: Maintaining compliance registers and renewing
    registrations, ensuring annual compliance for applicable laws every year, followingup on compliance related trainings, Compiling and filing all compliance related
    reports.

Job Requirements

1. Experience/ Domain Knowledge:

  • Experience in HR along with General Administration is preferred.
  • Experience in End-to-End Indian Payroll Experience is preferred.
